The short version
We built GusRanch to help ranchers run better operations, and to do that we handle information about your ranch, your animals, your team, your buyers and consultants, and the third-party services you connect. This policy explains what we collect, how we use it, who we share it with, and what control you have.
In plain language:
- We collect what we need to run the platform — nothing more.
- We don't sell your data. Ever.
- We don't use your QuickBooks data (or any other integrated service's data) to train AI.
- You can export your data or ask us to delete it.
- We use standard, professional-grade tools to keep your data secure.
If any of this changes, we'll tell you before it takes effect.
Who this policy is for
This policy covers anyone who uses the GusRanch platform, including:
- Ranch operators and their teams who sign up for a GusRanch account
- Consultants (vets, breeders, transporters, and other service providers) who sign up to work with GusRanch ranches
- Buyers who purchase animals through the GusRanch marketplace
- Visitors to the GusRanch website (gusranch.com) or the public demo (demo.gusranch.com)
If you're a rancher's employee or a consultant's assistant using the platform on someone else's behalf, this policy applies to you too.
What we collect
We collect information in three ways: what you give us, what your use of the platform generates, and what your connected services share with us.
Information you give us
- Account information when you sign up: name, email, ranch name, mailing address, phone number.
- Payment information when you activate an account or make a purchase: a payment method that our payment processor (Stripe) stores. We never see or store your full card number.
- Ranch operational information you enter into the platform: animals, pastures, health records, medication logs, breeding data, notes, photos, uploaded documents, and anything else you record.
- Communications you send us: support tickets, emails, feedback, feature requests.
Information your platform use generates
- Activity logs so we can debug problems, prevent abuse, and improve the product: page views, feature usage, error reports, session timing.
- Marketplace transactions: what you list, buy, sell, or offer through GusRanch.
- Provider workflows: which consultants you engage, which prescriptions get refilled, which lab results come in.
- Audit trails for regulated workflows (prescriptions, controlled substances, custody documents): who did what, when, and from where.
Information from services you connect
When you connect a third-party service to GusRanch — for example, an accounting platform, a payments platform, or a genetics or diagnostics lab — we receive information from that service on your behalf.
Examples of what may flow in from a connected service:
- Accounting: chart-of-accounts entries, vendor and customer lists, and the specific invoices, payments, or purchases we create on your behalf.
- Payments: transaction records, payout status, and identity verification results.
- Labs and diagnostic partners: results, reports, and testing metadata.
For each connected service, we only access what's needed to run the workflow you asked us to run. We don't browse around inside your connected accounts.
What we do with it
We use your information to run the platform
- Show you your ranch data.
- Route provider workflows (like sending a refill request to your vet).
- Process payments and payouts.
- Sync transactions to your connected accounting or lab platforms.
- Send you operational emails (order confirmations, refill approvals, connection expiry warnings).
- Provide customer support when you contact us.
We use anonymized data to spot trends across the platform
GusRanch works better when we can see the shape of the industry as a whole. We use anonymized, aggregated data across all ranches to:
- Track growth curves for different species, breeds, and age classes so ranchers can compare their animals against realistic benchmarks.
- Watch for parasite trends across regions and seasons so we can flag emerging problems earlier.
- Understand which workflows and features get used and where ranchers get stuck, so we know what to build next.
- Evaluate and improve the platform, including the AI features that power notes summaries, species intelligence, and workflow recommendations.
All of this uses anonymized data — individual ranches, people, and animals are not identifiable in any of these views.
We use AI to help you work faster
The GusRanch platform uses AI to help you with:
- Summarizing notes and generating recommendations.
- Extracting structured data from lab reports and other uploaded documents.
- Suggesting workflows and next steps.
- Providing species-intelligence lookups.
We use AI models from established, enterprise-grade AI providers under agreements that prohibit them from training their models on your data.
Important: We do not send data from connected third-party services (like your accounting or payments platform) to AI providers. That data stays inside GusRanch and the connected service. AI processing is only applied to data you've entered into GusRanch directly, and only to help you work with your own information.
We do NOT
- Sell your data to advertisers, marketers, or data brokers.
- Use your data to train AI models that other people use.
- Share your ranch information with other GusRanch customers.
- Share your data with connected services other than to run the workflow you asked us to run.
About the QuickBooks Online integration
Because Intuit requires us to be specific, here's exactly what happens with your QuickBooks data:
What we read from your QuickBooks Online:
- Your chart of accounts (to route transactions to the right accounts).
- Your vendor list (so we can look up existing vendors before creating duplicates).
- Your customer list (so we can look up existing customers before creating duplicates).
- Connection health and status information.
What we write to your QuickBooks Online:
- Invoices, payments, and credit memos for animal sales that flowed through GusRanch.
- Purchases and vendor bills for consultant charges that flowed through GusRanch.
- Bills for your GusRanch subscription and platform operating fees.
What we never do:
- Read transaction history you created outside of GusRanch.
- Modify or delete any record in QuickBooks that we didn't create.
- Share your QuickBooks data with other GusRanch customers or providers.
- Use your QuickBooks data to train AI models.
- Use your QuickBooks data for marketing or advertising.
What we store:
- An encrypted refresh token (so we can renew access without asking you to re-authorize every hour).
- Cached account IDs, vendor IDs, and customer IDs (to avoid redundant lookups).
- A log of every sync attempt, for troubleshooting and audit.
When you disconnect:
- We immediately stop calling QuickBooks on your behalf.
- We delete your stored refresh token.
- We retain the sync log for audit and troubleshooting purposes.
- Records already synced to QuickBooks stay in QuickBooks — we don't remove them.
You can disconnect the QuickBooks integration at any time from the Marketplace → Plug-ins drawer in your GusRanch dashboard.
Your choices
Access and export
You can access, view, and export your ranch data at any time through the GusRanch dashboard. If you need a full data export in a specific format, email support@gusranch.com and we'll help.
Correction
If any information about you is wrong, you can fix it directly in the platform, or ask us at support@gusranch.com.
Deletion
You can ask us to delete your account and associated ranch data by emailing support@gusranch.com. We'll confirm the request and complete deletion within 30 days. Some records must legally be retained (financial transaction records for tax and audit purposes, prescription records for regulated workflows). We'll delete everything we're allowed to delete and explain what we can't.
Marketing communications
We send operational emails (about your account, transactions, and workflows) because they're necessary to use GusRanch. If we ever send marketing emails (product updates, tips, offers), those will always have a one-click unsubscribe link.
Third-party integrations
You can connect or disconnect any third-party integration (QuickBooks, Stripe, lab partners) at any time from your dashboard. Disconnecting stops the flow of new data both ways.
Data security
We take data security seriously:
- Encryption in transit: All traffic between your browser and GusRanch uses HTTPS (TLS 1.2 minimum, TLS 1.3 preferred).
- Encryption at rest: Access tokens, refresh tokens, and sensitive credentials are encrypted with AES-256-GCM before we store them.
- Multi-factor authentication: We support passkey (WebAuthn) sign-in for phishing-resistant multi-factor authentication.
- Tenant isolation: Every database query that touches ranch data is scoped to the requesting user's tenant. Your data is never returned to another ranch's session, ever.
- Least-privilege access: Our engineering team accesses customer data only when required for troubleshooting, and access is logged.
- Audit trails: Sensitive workflows (prescriptions, controlled substances, custody documents, financial transactions) generate immutable audit records.
No system is perfectly secure. If a data breach occurs that affects your information, we'll notify you as soon as we're legally allowed to.
Data retention
We keep your data as long as your account is active. When you close your account:
- Most operational data is deleted within 30 days.
- Financial transaction records (invoices, payments, marketplace commissions) are retained for at least 7 years to meet tax and audit requirements.
- Regulated workflow records (prescription authorizations, custody documents, controlled substance logs) are retained for the periods required by applicable law.
- Aggregated, de-identified analytics may be retained indefinitely.
- Sync logs from third-party integrations are retained for at least 1 year for troubleshooting and audit.
Children
GusRanch is a professional platform for ranchers, veterinarians, consultants, and business buyers. It is not directed at children under 13, and we don't knowingly collect information from children under 13. If we learn we've collected information from a child under 13, we'll delete it.
Where your data lives
GusRanch is hosted on infrastructure primarily located in the United States. If you're accessing GusRanch from outside the US, your information will be transferred to and processed in the US. By using GusRanch, you consent to that transfer.
We take precautions to ensure that any data transferred is protected in accordance with this policy.
For California residents
If you live in California, you have specific rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):
- Right to know: what personal information we collect about you and how we use it. This whole policy describes that.
- Right to access: a copy of the personal information we hold about you. Email support@gusranch.com.
- Right to delete: ask us to delete your personal information. Same email.
- Right to correct: fix inaccurate information.
- Right to opt out of "sale" or "sharing": we don't sell or share your personal information for cross-context behavioral advertising, so there's nothing to opt out of. If this ever changes, we'll add a "Do Not Sell or Share My Personal Information" link.
- Right to non-discrimination: we won't treat you differently for exercising any of these rights.
To exercise any of these rights, email support@gusranch.com. We'll respond within 45 days.
For European Union residents (GDPR)
If you're in the European Union, the United Kingdom, or the European Economic Area, you have rights under the General Data Protection Regulation (GDPR) and similar laws:
- Right of access, rectification, erasure, restriction, portability, and objection to how we process your data.
- Right to withdraw consent for any processing that's based on consent.
- Right to complain to your local data protection authority.
Our legal bases for processing your data:
- Contract — we process most information to fulfill our agreement with you (the Terms of Service).
- Legitimate interests — we process activity logs and aggregated data to run and improve the platform.
- Consent — we process data from connected third-party services (like QuickBooks) based on the explicit consent you gave when you connected them.
- Legal obligation — we retain certain records to comply with tax, financial, and regulatory laws.

Changes to this policy
We may update this policy from time to time. When we do, we'll:
- Update the "Last Updated" date at the top.
- If the changes are material, notify you by email and/or through the platform at least 14 days before they take effect.
- Keep older versions available on request.
Continued use of GusRanch after the effective date of a change means you accept the new policy.
